- Publicly Available Information: Occasionally, we collect publicly available information relevant to the Services to enhance our operations.
2. How We Use Your Information
We use the information we collect to:
- Provide and Maintain Services: Facilitate lead capture, attendee engagement, and event analytics while ensuring a seamless user experience.

- Communicate with You: Send updates, respond to inquiries, and provide customer support promptly.

Attendee data is not used in marketing campaigns, and analytics data is anonymized with unique IDs, ensuring it is not tied to personal contact information. This anonymized data may also be shared with Organizers and Exhibitors for internal purposes.
3. Sharing Your Information
We do not sell personal information. However, we may share information in the following circumstances:
- With Service Providers: Third-party providers assist us with payment processing, data hosting, analytics, and customer support. Key providers include AWS, Zoho Canada, Zapier, Hotjar, Google Analytics, HubSpot, Apple, Google, Xano, WeWeb, and Draftbit.
- With Integration Partners: When you connect third-party services (e.g., Salesforce, HubSpot), data may be shared as authorized by you.
- With Organizers and Exhibitors: Attendee data is shared through QR codes, custom forms, or event features. Organizers must ensure attendee consent is obtained, with event registration requiring attendees to agree to data sharing with Conduit for lead capture purposes.
- For Legal Compliance: When required by law, regulation, or legal process.
- In Business Transfers: In the event of a merger, acquisition, or sale, your information may be transferred as part of the transaction.
4. Data Retention
- Personal Data: Retained for up to 180 days after an event concludes, allowing Exhibitors to export lead lists. After this period, personally identifiable information (PII) is anonymized and retained indefinitely for analytics, reporting, and improving the Services.
- Anonymized Data: Retained indefinitely. This data is stripped of PII and used to enhance the platform and deliver aggregate insights to Organizers and Exhibitors.
5. Anonymized Data
- What We Anonymize: Attendee analytics data is anonymized by removing PII and assigning unique IDs to track visitor journeys without identifying individuals.
- Compliance with Standards: Anonymization processes align with best practices. For GDPR-specific requirements, please contact us.
6. Data Security
We use robust measures to secure your information, including:
- Encryption: Data is encrypted during transmission and at rest.
- Access Controls: Access is limited to authorized personnel only.
- Authentication: Two-factor authentication (2FA) is implemented for all employees accessing core systems.
- Private API Keys: Secure methods, such as OAuth2, are used for sensitive integrations.
In the event of a data breach affecting your personal information, we will notify affected individuals and relevant authorities within the required 72-hour timeframe, as mandated by laws like GDPR.
7. International Data Transfers
- Storage Locations: Data is stored and processed in Canada and the US.
- Compliance: For international transfers, we implement safeguards such as Standard Contractual Clauses (SCCs) to ensure compliance with applicable laws. Data is only transferred to trusted third-party services connected by Organizers or Exhibitors.
